2. Transaction & Contract Support

Services Include:


  • Contract-to-close coordination (buyer or listing side)
  • Deadline and contingency tracking
  • Document review for completeness (non-legal)
  • Brokerage compliance preparation
  • Communication with title, escrow, lenders, and clients
  • Amendments and addenda coordination

Pricing Options:

Transaction Coordination (TC Only):

$400 per side

$600 dual-sided transaction


Hourly Overflow Support: $50/hour

Retainer Eligible: ✔ TC hours may be applied toward monthly retainers

4. Listing & Marketing Support (Administrative)

Hourly: $50/hour

Flat Listing Support Option: $175 per listing

6. Special Projects & Overflow Support

Hourly: $65/hour

Project-Based Quotes Available

Minimum: 2 hours per project

7. Social Media Support for Realtors (Administrative)


Consistent presence without the overwhelm


This package is designed for Realtors who want to stay visible and professional on social media without managing daily posting themselves. This is administrative execution only — content direction and brand voice are guided by the agent.


Services Include:

  • Post scheduling (Instagram, Facebook, business pages)
  • Caption formatting using agent-provided content or prompts
  • Hashtag placement
  • Content calendar coordination
  • Posting consistency tracking
  • Basic engagement support (likes, comments, shares — no DMs or lead handling)


Pricing Options:

Hourly Social Media Support: $60/hour

Monthly Social Media Retainer: $450/month (up to 8 scheduled posts per month)

Combined EA + Social Media Retainer: Custom pricing available

Best For: Realtors who want a professional, consistent social presence without becoming content creators.



What We Do Not Offer


To maintain clarity, quality, and compliance, Mindful Closings does not provide the following services:


  • Cold calling or lead generation
  • Sales activities or negotiations
  • Legal advice or contract interpretation
  • Marketing strategy, ad management, or content creation
  • 24/7 or on-call availability unless contractually agreed upon


How Billing Works


  • Hourly services are scheduled based on availability
  • Retainer clients receive priority scheduling and support
  • All time is tracked transparently and invoiced with detailed summaries
  • No long-term contracts required; a 30-day notice is recommended for retainers
  • Monthly Executive Assistant retainers are ideal for Realtors with ongoing or fluctuating workloads who want predictable support, priority access, and peace of mind.

Setup New Listing File 


  • Complete listing file creation in agents preferred software


  • Add client to agents CRM database


  • Fill out listing documents and send to client along with any required disclosures for signatures.


  • Order preliminary title.


  • Add listing info into the MLS (agent fills out listing comments/description).


  • Order for sale sign.


  • Assign lockbox to MLS listing.


  • Ask the seller to make copies of house keys for the lockbox.


  • Schedule stager for consultation.


  • Schedule photographer for photo shoot once house is staged.


  • Order for sale sign.


  • Input listing into the MLS incomplete


  • Have listing agent edit or approve MLS input before going live


  • Email seller copy of the listing


  • Add required documents to the MLS listing such as legal description, disclosures, inspections.


  • Add all listing documents, disclosures and any other required documents to broker’s online compliance management software ensuring file is complete.
